i would answer your first question, how often?
I would suggest as often as it is necessary and needed. Why? Because, new challenges or improvements or help might be needed by your CSAs. Some might be in groups or as individuals.
As a group, once a week is advisable to avoid information overload. Then depending on your CSA's individual performance, it'l require consistent communication especially if the individual CSA was once inactive and now its active and wants to learn. Such CSAs should not be kept waiting, but the line of communication open for as long as and as often as the CSAs need help. I've such CSAs like that and i've opened a line of communication as it require my helping the CSA.
To answer your 2nd question as to ways to contact them?
You can contact them through:
1. The CSA Mailer.
2. Through the Genealogy Filter, where you can select a specified date of your CSAs to communicate with them. This helps you to differentiate those who are active and those who are not and give them the required help. This gives you the opportunity to send different emails that suits each CSAs needs.
3. E-Cards: This comes in handy as it is needed. Here, you can use it as a personalized letter to a specific CSA either to welcome, congratulate, or give tips etc.
4. CSAs Greeting: This is one of the most effective ways of contacting your new CSAs or perhaps your 2nd Home CSAs.
Before i never knew the importance of this tool until recently. It made me more effective as a co sponsor as i was able to welcome my new CSAs to my team and SFI as soon as they are given to me. This puts me at rest to let me know that i've set them on a good start by my CSA greeting even when am not aware. I've seen my new CSA started well through this way and i've been following them up.
I update my CSA greeting as i see it necessary to suit their needs and keep them active.
5. Social Network: i've seen facebook the most effective so far. I communicate and follow up my CSAs through this medium as well.
6. Emails: I send personal emails to the CSAs who i'm following up.
7. I also do this through the TeamMail via the Genealogy report.
These are the ways that i've discovered and i've known to work so well for me.
