Perception is very important, so you need to develop a trust relationship with your PSAs and may be PRMs in advance. You need to show you are a good leader, who is helpful and always ready to selflessly guide and assist his team. Establishing a good reputation will be the first big leap in your plan of setting up a local meeting or a seminar, and then you may adapt the following suggested steps below:
1. You need to identify your invitees and probably establish some criteria for invitation; are you going to invite all your Local PSAs and PRMs or you are going to invite a segment that is struggling with this business? Are you going to invite those who will come and 'intimidate' others or you are going to invite those who will come to showcase their successes with great humility? Are you going to invite more newbies or more oldies or a fair combination of both? Are you going to invite some who will join you as co-leaders to help with execution of objectives at the meeting? etc
2. Use a very professional or friendly medium to send invitation; email, social network group, SFI Team Mail etc. Include the agenda of the meeting in your invitation and explain why you think they will benefit from this meeting. Ensure the agenda includes issues that have been coming up in your discussions with them in order to arouse interests.
3. Resist making it too formal so plan to include other activities of interests like social interactions, fun games, refreshments, traditional/cultural entertainment common to all of you to spice up the occasion. The purpose of this is to make it attractive in order to increase the potential of participation and ensure you communicate these to members prior to the meeting.
4. You may need to include a 'catch' to also encourage participation like; "for honouring my invitation by attending, you will receive one of the following gifts; Tcredits, a free 2 month co-op participation, free 1 year own domain name, free promotional page, PSAs reassignments etc.
5. The next step is to set up an appropriate venue and I do not encourage you to use your house because it could trivialise the event or make it look too personal and some members may be uncomfortable with such arrangement. Please note that you may need some electronic devices for learning, brainstorming and communication like speakers, microphones, laptops, projector, music system etc. Ensure you give a proper description of the venue or where possible, arrange for them to stop at a popular place where you may arrange for them to be transported in batches to the venue.
6. At this stage the meeting is properly set up and my advice for that day is to ensure you deliver on all what you promised leading up to the meeting or seminar.
In conclusion, this type of get together is very appropriate and ingenious, because it may lead to some improved relationships in the interest of building a more active and successful team.
