There are numerous samples of welcome letters in the forum and ASKSC; that you can revise and make your own. One of the new ECA's has ten welcome letters you can purchase to use. SFI's default letter has worked well for me.
Other communication can be done using Ecards, and kind words that show you care about the individuals.
You can show love for them by translating your materials into their language so that they can read them easier. The words don't have to be fancy or even 100% correct if they come from your heart.
Write your communication as if you were talking to them. Sometimes it helps to put a mirror or a picture up and write as you would talk to them.
We have the stream, the weekly 30 VP letters that are all great practice when you don't have a responsive team. You can experiment with many different ways to say something in these letters, and then repeat and reuse those that give you some response.
Look at SFI's advertising material, and study the different ways they say the important things about SFI.
Read and respond to the forum for practice. If you write a letter that you are concerned about, put it in the forum and ask for feedback.
The main thing is that your writing is done consistently, shows that you care about them and how they are progressing. It doesn't have to be done perfectly, in fact a lot of what we read in the forum isn't great English, but is understandable. That is all you need as long as it is from the heart.
