Effective communication is important in order to assist, guide and mentor you team and lack of it may result in misinterpretation of your message and therefore not achieving its objective, because the recipients may respond as unintended by you. I identified some ways to communicate in an effective way below:
1. Ensure you send mails that enunciate the benefits rather than just spending, otherwise you may be seen as been exploitative.
2. Be very responsive to their questions and concerns by acting on a timely and consistent way, without delay.
3. Be very polite and professional, and treat them like your partners instead of your workers or employees.
4. Desist from pushing hard if your guidance is disregarded, otherwise your team may feel disrespected and undue interference or that you are high handed.
5. Avoid sounding too negative in order not to demotivate your team. Instead of saying ;you will not succeed in this business if you do not have a standing order' while not say 'standing order comes with a lot of benefits like.....'.
6. Your communication should not loose track of praising achievers and encouraging non achievers. For example instead of saying 'you are not putting in effort in your business' while not say 'I have noticed you missed some actions recently, is there anyway I can be of help?'.
7. Though we emphasize duplication, but this does not mean you should 'clone' your team because everyone is different and there is no way they can be you, so take note of the different make up in your team and where necessary, use different communication styles accordingly.
8. It may not be easy but try as much as possible to use clear, simple and concise language, and to avoid using words or phrases that are subject to misinterpretation.
9. Read or listen to your communication yourself and assume you are the recipient in order to access the impact before you send it out.
To conclude, please do not inform to deform, but inform to reform the deform in order to give it a form.
