The SFI A2A affiliates are just like your colleagues working together in an organisation.
Whenever one plans for a local meeting or get-together which is purely informal in nature, one has to think a lot about it and make the much necessary planning and arrangement ahead of the event. Some of the broad outlines are being mentioned here-in-below:=
a) Plan for a good, conducive venue with all the basic necessities. Fix appropriate time and day for the event, usually on weekends or some public holidays.
b) Arrange for light snacks and cold drinks or a cup of tea. Arrange two or three support staff for necessary services along-with the necessary seating arrangements.
c) Arrange for electricity back-up to meet any emergency, a public address system with sound boxes and microphones.
d) Give a lot of thought about what to speak and how to speak. Prepare an agenda with broad headings of various topics such as Tripleclicks, Pricebender auctions, ECA referrals, Marketing & Advertising, Wave 3 starter kits, SFI Co-ops, Standing Orders etc. Maintain presentable personality with a broad smile and crack a joke in a lighter vein during the speech if the meeting atmosphere gets charged up. While speaking your sight or gaze should go round the audience and make a mental note of their personal responses by reading their faces, body languages such as postures, movements etc.
e) Prepare and arrange for availability the necessary paraphernalia such as gift cards, flyers, banners, X-cards, etc well in advance for distribution among the a2a members.
f) If possible, make necessary guess-work about the possible questions or queries that would raised by the affiliates and prepare necessary convincing replies or answers.
g) When the actual date and time arrives, you make an announcement about the beginning of the meeting and proceed as per your planning. Try to be brief, straight and maintain an average speed of speech for clearer hearing and understanding.
h) If you announce the time-span or duration of meeting before-hand, then try not to exceed it under any circumstance, one or two minutes is just okay.
i) Provide adequate time for questions/queries to be raised by fellow affiliates and answer them with examples and explanations patiently. Provide them a general question and ask them to think about it and submit their replies in the next meeting.
j) At the end of the meeting, thank all of them for their co-operation and patient hearing.
After finishing the meeting, Just try to recollect the entire meeting scenario and try to evaluate yourself impartially with calm, stable and unemotional mind. Figure out various deficiencies and lacunae and make a note of them and try to never repeat them in future meetings.
